This policy explains what personal information The HOHS Trust collects through this website, how we use it, and the choices and rights you have.
Who we are
The HOHS Trust (Hethersett Old Hall School Trust) is a charity registered in England and Wales, charity number 1195996. We are the data controller for the personal information described in this policy.
Our correspondence address is:
The HOHS Trust

You can contact us about this policy or your personal information using our contact form, or by post at the address above.
What we collect and why
When you contact us
If you use the contact form on our website, we collect:
- your name
- your email address
- where you heard about us, if you tell us
- your message
- any files you choose to attach
We use this information only to read and reply to your enquiry. Your message is sent to the trustees by email; it is not stored on the website itself.
Our lawful basis for this is our legitimate interest in responding to people who contact the Trust. Please don’t include more personal information than you need to, especially sensitive information such as health details.
Spam protection
To protect the form from spam, messages sent through it are checked by Akismet, a service run by Automattic Inc. Akismet receives the content of your message along with your IP address and browser details, and may process them outside the UK. Our lawful basis is our legitimate interest in keeping the website and our inbox free from spam. You can read Automattic’s privacy policy for details of how it handles this information.
When you visit our website
We use Koko Analytics to count visits to our website so we can see which pages are useful. It does not use cookies. To tell new visitors apart from repeat visits, it creates a temporary identifier from a scrambled (hashed) version of your IP address and browser details, which changes every day. Your IP address is not stored, the identifier cannot be used to identify you, and the statistics stay on our own web server — they are not shared with Google or anyone else. We only ever see totals, such as the number of visits to each page.
Like all websites, our hosting provider’s servers also keep short-term technical logs (including IP addresses) to keep the website secure and running.
Cookies
We do not use cookies for visitors to this website. The only cookies set are those needed for the Trust’s website administrators to log in.
Who can see your information
Enquiries are received by all of the Trust’s trustees. We do not sell your information or share it with anyone else for their own purposes. We only share it when we need to with the service providers who help us run the website:
- GoDaddy, which hosts our website and email on servers in the European Union
- Automattic (Akismet), which checks contact form messages for spam
We may also share information if we are required to by law.
How long we keep it
We keep enquiries, including any attachments, for up to two years and then delete them. If your enquiry leads to a grant or a project, we may need to keep related records for longer to meet our legal and accounting obligations as a charity.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct information that is wrong or incomplete
- ask us to delete your information
- ask us to restrict how we use your information
- object to us using your information
- ask for your information in a portable format, where this applies
To use any of these rights, contact us using our contact form or by post at the address above. We will respond within one month.
Complaints
If you are unhappy with how we have handled your personal information, please contact us first using our contact form so we can try to put things right.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed.
